OEM Coffee Manufacturing Costs: What to Compare

OEM coffee manufacturing costs should be read alongside the product specifications and the scope of work. Two quotations for the same order weight are not necessarily comparable if the coffee, blend, packaging or delivery arrangements differ. Before asking for a price, identify what is already decided and what still needs the manufacturer’s input.

This guide helps businesses organize requirements for a quotation discussion. It is not a SpringTime price list or minimum-order commitment. Specific terms need to be confirmed for the proposed product configuration.

1. Coffee selection and product specifications

Specify the coffee type, blend requirements, roast and whole-bean or ground format. If you have a reference sample, describe the brewing method and the characteristics you want to retain. If the recipe is not ready, identify the development support you need rather than treating every proposed option as the same product.

Explore SpringTime coffee lines as a starting point for the discussion. Assess the product against its intended use before making a decision solely on the price per kilogram.

2. Quantity per SKU and production order

Total project volume is different from the quantity for an individual product. Separate the number of SKUs, expected quantity for each SKU and proposed ordering frequency. When requesting several volume options, keep the other specifications consistent so you can understand the difference between proposals.

Ask the manufacturer to confirm minimum quantities for the exact coffee and packaging configuration. Do not assume that a minimum for one product applies to every other line, or that an annual forecast can replace the quantity of an individual production order.

3. Packaging, labels and design scope

Describe net weight, bag type, any valve or closure requirements, label format and carton specifications. Clarify who supplies artwork, who prepares the packaging and who approves the content before production.

For each option, request a clear list of included work and separately priced items. Consider the sales channel and the way the product will be used before choosing a pack format. A comparison based only on pack size can overlook differences in packaging and finishing work.

4. Samples and changes after approval

Ask how samples are supplied, which charges may apply and what adjustment process will be agreed. Record the cup profile, brewing recipe and acceptance criteria. If the coffee, roast or design changes after approval, ask the manufacturer to review the quotation and schedule instead of assuming the original proposal still applies.

For café products, use a menu-based sample evaluation sheet to record test conditions and feedback. This creates a clearer reference for the product you are requesting.

5. Delivery and other terms to confirm

Specify the receiving location, preferred timing, delivery batches and carton requirements. Review the unit quoted, taxes, transport, quotation validity and proposed payment terms. These details need to be confirmed through the project discussion.

For an export project, identify the destination market and delivery scope you want quoted. Two figures should not be treated as equivalent when one refers to collection at the factory and the other includes additional work or transport.

A checklist for comparing OEM proposals

  • Are the coffee type, blend and roast equivalent?
  • Does the quantity apply per SKU or to the whole order?
  • Is the price per kilogram of finished coffee or per pack?
  • Which bags, labels, design tasks and cartons are included?
  • How are sample costs and adjustments handled?
  • Are taxes, delivery arrangements and validity stated clearly?
  • Have the sample, artwork and production conditions been confirmed?
